An extract or copy of the civil registry is written proof of, for example, a birth or marriage. You can request this from the municipality where the event took place.

Approach

How to request an extract or copy from the civil registry:

  • You must go to the municipality where the event took place. Would you like to apply for a divorce certificate or a certificate of termination of partnership? If so, you must do this at the municipality where you were married or where you entered into the partnership.
  • Log in with your DigiD at the municipality to request the extract or copy online.
  • You pay for the extract or copy online. 
  • The extract or copy will be sent to your home address.

  • Apply online and pay via iDeal or credit card.
  • Authorize someone else to apply on your behalf.

You can request a multilingual extract for use abroad. To do so, make an appointment at the counter. The information is available in the following languages:

Requests for someone else

Are you requesting the extract for someone else? If so, please also bring:

  • A signed letter stating why the applicant needs the extract and that he/she authorizes you.
  • A copy of the applicant's identity document.
  • Bring your own ID.

Check carefully which extract you need and request the correct one. You pay when you submit your request. If you request the wrong extract, we will not refund the costs.

Description

The municipality records important events in a person's life in an official document. This is called a certificate. Important events include birth, marriage, or death. The municipality keeps the certificates in the civil registry.

You can request a copy or extract of these certificates on paper. An extract is a summary of the information held by the municipality. It contains the most important details. A copy is a duplicate of the certificate, stamped and signed by the registrar.

You can request a copy or extract of:

  • birth certificate
  • death certificate
  • marriage certificate
  • divorce decree
  • partnership registration certificate
  • deed of termination of partnership

Do you need an extract for use abroad? Then request an international extract.

Do you need a transcript for use abroad? If so, in addition to the transcript, you will also need to request a multilingual model form.

Documents become public after a certain period of time. Birth certificates become public after 100 years, death certificates after 50 years, and marriage and divorce certificates after 75 years. You can look up public documents yourself at the archive service,Limburg Historical Center in Heerlen. Looking up the documents yourself is free of charge.

Requirements

Would you like to request a copy or extract of a deed for someone else? This is only possible if you:

  • you are the child or grandchild, or you are the parent or grandparent (i.e., not a sibling)
  • are an heir
  • are the legal representative
  • needs the deed for legal proceedings
  • needs the certificate for a marriage or registered partnership
  • has written permission (an authorization)

Do you need the extract or copy sooner? Then make an appointment with the municipality. You will receive it immediately during your appointment.
